MGS Journal Policy on Use of AI

The following rules apply to all material submitted for publication in the Maryland Genealogical Society Journal.
 
1. Authors may use artificial intelligence (AI) tools for limited assistance in preparing a manuscript, such as grammar and style correction, organization, outlining, preliminary summarization, transcription, translation, data extraction, or brainstorming.
 
2. Authors must verify all facts, quotations, citations, transcriptions, translations, interpretations, and conclusions.
 
3. Use of AI in the drafting of manuscript text is not permitted. Any proof argument, evidence correlation, or identity conclusion must be the author’s own analysis and judgment.
 
4. Authors may not use AI to fabricate or alter evidence, invent citations or quotations, create unverified transcriptions or translations, or generate conclusions presented without the author’s independent evaluation.
 
5. Disclosure: Any material use of AI must be disclosed at the time of submission. Material use includes AI-assisted transcription or extraction from records, translation intended for publication, or analytical suggestions that influenced the article’s argument or conclusions. Routine minor uses, such as spelling or grammar correction, need not be disclosed.
 
     If disclosure is required, please include a brief note with your submission. For example: “AI was used for preliminary transcription and organizational assistance. All content was reviewed and verified by the author.”
 
6. The editor and peer reviewers may request additional information about AI use and may require revision or removal of material that does not meet Journal standards. Failure to disclose material AI use, or submission of work relying on unverified AI-generated content, may result in rejection or withdrawal of the manuscript.
